Privacy campaign for DELA.

The GDPR legislation was introduced in May 2018. For many companies, this had a big impact on how they could continue to do business. The companies that were hit the hardest were those that deal with a lot of personal data, such as DELA. As a funeral insurer, DELA works with their clients at the most difficult moments of their lives. It is exactly because of this that DELA felt it was so important to be clear about GDPR compliance with their employees, so they would not have to cause their customers any more grief than they've already experienced.
In addition to the departments that are directly involved with funeral services, DELA has many other departments, ranging from customer support, to newsletter copywriters, communications, and of course supportive roles such as IT and HR. Each department works with different systems, has different storage methods and works with different personal data. How can you possibly make sure that all of these departments are GDPR compliant?
The only realistic way to reach every member of the business in a clear and convincing manner is through an explanation campaign. In such a campaign, several resources are used in a specific order to ensure that the target group fully understand the topic.
A campaign starts by mapping the situation in an advisory session. We need to assess which departments we will target, what is their knowledge of the topic and what systems do they work with? We then assess which mediums of communication are appropriate to reach the target groups with, and at what time is best to reach them. Once these important factors have been determined, we begin making a plan in which we give advice on which content best suits the target group. Together with DELA, we opted for an animation to introduce the entire subject, this video was effectively able to highlight the reasons why GDPR was so important.
We then created several infographics with specific instructions for each department. These were distributed and displayed throughout the building, and discussed in the teams at weekly or monthly meetings. For the funeral departments, we made a separate explanation animation because their situation was so focused on the people who had just lost their loved ones. This way, the funeral department knew exactly what the important information regarding GDPR was for their unique job function.
At the end of the campaign, we asked employees what they learned and what their impressions of the campaign were. All respondents indicated that they were familiar with the GDPR laws, how it impacted their job function and why it was so important. Most had even seen at least one infographic and poster; we were glad to hear that our campaign was successfully able to bring GDPR to the forefront of attention at DELA!
